Description

The Program Assistant provides vital support to our Office of Student Success and Diversity (OSSD). With a heart for service, this detail-oriented and organized individual plays a crucial role in advancing the university’s mission of fostering a Christ-centered community that values diversity, equity, and inclusion. Through their work, the Program Assistant helps create an environment where every student can thrive and feel valued.

Job Duties

  • Serve as main point of contact for OSSD office.
  • Answer the phone.
  • Check campus mail.
  • Accept deliveries.
  • Maintain Diversity calendar and monitor Diversity email account.
  • Prepare and coordinate meetings and prepare materials for office meetings.
  • Responsible for coordinating events, including but not limited to obtaining space, vendors, and permissions as needed.
  • Assess and maintain office supply inventory.
  • Maintain and organize electronic files on the shared drive.
  • Maintain digital copies of event flyers and programs.
  • Process travel reimbursement checks to speakers for expenses incurred.
  • Reserve, and is the contact for, hotel reservations for program speakers.
  • Process all monetary transfers, including check, credit card, online payments, deposits, purchases, reimbursements, and refunds daily.
  • Other administrative support as assigned.

Qualifications

  • High school diploma or equivalent.
  • Proficient in Office 365 applications, including Word, Excel, Outlook, and PowerPoint.
  • Excellent organizational skills.
  • Strong verbal and written communication skills.
  • Ability to multitask.
  • Energetic and proactive in addressing office needs and supporting initiatives.
  • Ability to work independently and in a team environment.
  • Strong interpersonal skills with a welcoming and inclusive attitude.
  • Ability to lift and carry items up to 20-30 pounds.
  • Ability to sit for extended periods (up to 6-8 hours per day).
  • Required to stand or walk occasionally, including for tasks like filing, helping with office events, and retrieving office supplies.

Preferred Qualifications

  • Associate’s degree or higher.
  • At least one (1) year of relevant job experience.
  • Previous experience working in a higher education or diversity.
