Coordinate and provide administrative support within all facets of the Grassroots Advocacy program including β but not limited to: the planning and execution of in-District campaigns, event production for fly-ins, new advocate recruitment at Chapter events, social media engagement, regional relations, use of technology, CRM entry, National Diabetes Awareness Month (NDAM), National Volunteer Appreciation Week (NVAW), the Youth Advocacy Leaders Program (YAL), the Young Adult Advocacy Council (YAAC), etc.
The Senior Coordinator will work closely in support of and collaboration with the Grassroots Advocacy team in carrying out these responsibilities. This person will be thoroughly trained to understand our mission, department activities and goals, operations, policies, and procedures to perform all duties.
RESPONSIBILITIES:
Β· Support all βAdvocacy at Eventsβ efforts, collaborating with colleagues to plan for new advocate capture / workflow ahead of our peak seasons (Fall & Spring) ensuring process improvement and data integrity. (Partner with Technology and MarCom as needed.)
Β· Support the mailing of new advocate recruitment materials for Walks, Summits, Galas, Ride, and other related events and support the needs of the Field staff and volunteer leadership.
Β· Manage assigned regions, communicating and partnering regularly with Field staff and volunteer leaders to ensure they are supported throughout our campaigns and new advocate recruitment efforts.
Β· Support volunteer leaders within our software platforms, including the Advocacy Portal (ADP), campaign websites, and all other tools and resources available to them as needed.
Β· Disseminate timely updates and activations to Chapter EDs and volunteer leaders, and provide feedback on activation needs / results to Chapter EDs, volunteer leaders, and members of the Advocacy team as requested.
Β· Prepare relevant content for our monthly Advocacy Team Chair (ATC) calls, and present as needed.
Β· Provide overall support for the planning process and execution of Government Day and Childrenβs Congress.
Β· Provide admin and regional support for the Together We Can campaign.
Β· Adhere to accurate record-keeping within our organization-wide Salesforce CRM system and Advocacy-specific databases (including the Advocacy Data Portal), written records, and filing systems.
Β· Partner with Manager, Grassroots to conduct regular QA testing within our websites and platforms to ensure functionality, a positive user experience, and data accuracy.
Β· Provide admin support to Grassroots Advocacy staff who manage our Youth Advocacy Leader (YAL) program and Young Adult Advocacy Council (YAAC).
Β· Support efforts to promote National Diabetes Awareness Month (NDAM) and National Volunteer Appreciation Week (NVAW) including posting to social media as requested.
Β· Post social media content with guidance from Grassroots Advocacy team as requested.
Β· Support and collaborate with interns.
Β· Support Advocacyβs daily operations, projects, and tasks in collaboration with the Legislative, Health Policy, Regulatory Affairs, and Global Access teams.
Β· Prepare materials, generate reports, update websites, and coordinate meetings and trainings in support of our events and campaigns (Government Day, Childrenβs Congress, Together We Can Campaign, and New Member Outreach Initiative).
Β· Update, develop, and edit Power Point presentations, Excel spreadsheets, and Word documents for the Advocacy staff as needed, adhering to our brand standards.
Β· Perform other duties related to clerical and administrative assignments as assigned by supervisor.
QUALIFICATIONS:
EDUCATION:
Bachelorβs degree required.
YEARS OF EXPERIENCE:
2+ years of related experience preferred.
KNOWLEDGE:
Β· Knowledge of basic clerical procedures and file management and proficiency in the entire Microsoft Office suite (Word, Excel, PowerPoint, Forms).
Β· Experience using Word Press and Salesforce or another CRM system
Β· Confident leading administrative procedures β coordinating people and resources, scheduling meetings, producing events, etc.
Β· Familiarity with principles and tactics of digital advocacy and social media including X, Instagram, Facebook, YouTube, TikTok, LinkedIn, etc.
SPECIAL REQUIREMENTS:
Β· Excellent oral and written communication skills, and keen attention to detail.
Β· Tech savvy.
Β· Ability to actively listen with an inquisitive mind, anticipate the needs of the team, and call upon creative problem-solving skills when needed.
Β· Highly efficient in time management β ability to multi-task and prioritize tasks in a fast-paced and deadline-meeting environment.
Β· Flexible to tackle new individual or group projects, and to produce strong work ready for a sophisticated national audience.
Β· Agility to confidently interface with all levels of our staff and volunteer network, and to pivot quickly when needed.
Β· Commitment to building and maintaining strong relationships.
Β· Strong interest in digital coalition-building, grassroots advocacy, and in the Federal legislative and health policy processes in general.
Β· Must be present in the DC Advocacy office at least 2 days per week, and more frequently in the lead up to events.
Β· Some evening and weekend work required during busy periods.
Target Salary: $55-65k base
